How do you run camp check-in and check-out safely?

Short answer

Run check-in against a live roster rather than a printed list, verify the adult collecting each child against the authorised contacts, record both check-in and check-out with a timestamp and the responsible adult, and make allergies, medical notes and waiver status visible to gate staff. Digital check-in makes each of those steps automatic.

Before the first day

Most check-in problems are created earlier, when information was never collected.

• Collect authorised pickup contacts during registration, not on the morning of day one.
• Make the waiver part of registration so no child is unsigned at the gate.
• Capture allergies and medication with the registration so they travel with the roster.
• Give every staff member access to the roster on their own device.

At drop-off

Check the child in against the day's list. Staff should see immediately whether the waiver is signed, whether payment is outstanding and whether there are medical notes, without leaving the screen they are on.

Unmarked names at the end of drop-off are the absence list, which is what triggers a message to a parent rather than an assumption.

At pickup

Check-out is the step that carries the real risk. Record who collected the child and when, and verify that person against the authorised contacts for that camper. A digital record makes this a few seconds of work and produces evidence that a paper sheet cannot.

For older players who leave independently, record that as its own pickup type so the record is still complete.

Afterwards

Keep the attendance and pickup history attached to the registration. It answers parent questions, supports refund and credit decisions, and is the first thing requested if an incident is ever reviewed.
