Camp attendance tracking

Camp attendance tracking for every session and player

Campio turns each camp day into a live attendance list on a coach's phone: who is registered, who is present, who was collected and when — with attendance rates per player and per activity over time.

Short answer

Camp attendance tracking records presence per session against the registered roster instead of a printed sheet. Campio marks attendance at check-in and check-out from a phone or tablet, stores who collected each child, and reports attendance rates per player, per day and per activity.

Attendance is the record that everything else leans on: safety at pickup, refunds for missed sessions, coaching decisions and the conversation with a parent about how often a player actually trains.

A printed roster cannot do that job, because it is stale the moment it is printed and it produces no data. This page covers what to track and how Campio handles it.

What Campio tracks

Live daily roster

Each day shows the players registered for that session, updated when registrations, cancellations and approvals change.

Mobile marking

Staff mark check-in and check-out from a phone or tablet at the field, with no printed lists and no later data entry.

Who collected the player

Check-out records the responsible adult, so pickup is documented rather than remembered.

Attendance rates

Participation is summarised per player, per day and per activity, so trends are visible instead of anecdotal.

Absence visibility

Unmarked and absent players stand out on the day's list, and parents can be messaged directly from the same platform.

Records that stay

Attendance stays attached to the registration, so a season's participation can be reviewed months later.

Why attendance data is worth collecting

Attendance answers the questions camps get asked most: was my child there, why is participation dropping in week three, which sessions are undersubscribed, and which players should be followed up with.

Because attendance is recorded against the registration, it also supports the commercial side — credits for missed sessions, evidence for refund requests and a realistic picture of how many staff a session actually needs.

Attendance and safety

Check-out that names the collecting adult is the part paper handles worst. Storing it digitally means the record exists, is timestamped and can be found again without going through a box of sign-in sheets.

Waiver status, medical notes and emergency contacts sit on the same player record, so the person at the gate has everything in one view.

How attendance tracking works in Campio

  1. Publish the activity

Sessions and dates define the days that need attendance.

  2. Registrations build the roster

Each paid or approved registration appears on the relevant day's list.

  3. Mark check-in at the gate

Staff check players in on mobile and see waiver and payment status while they do.

  4. Record check-out

Mark the player collected and record the responsible adult.

  5. Review the numbers

Attendance rates per player and per activity are available on the activity's statistics.

Frequently asked questions

How do camps track attendance?

Modern camps mark attendance digitally against the live registration roster at check-in and check-out, rather than on a printed sign-in sheet, which produces a timestamped record and attendance statistics.

Does Campio record who picked up a child?

Yes. Check-out records the responsible adult who collected the player, with a timestamp.

Can we see attendance rates per player?

Yes. Participation is summarised per player and per activity, so repeated absences are visible.

Does it work offline at a field?

The app is mobile-first and installable; marking requires a connection to save, so attendance syncs when the device is online.

Can parents see attendance?

Parents see their own child's bookings and check-in status in their account; full rosters stay with staff.
